Tuesday Tip: The Fastest Way to Catch Email Mistakes

Before you hit send on that important email or client proposal, listen to it instead of just re-reading it. Microsoft Word and Outlook both include a feature called Read Aloud. It needs no install and no admin permissions. It reads your document or email out loud, word by word, highlighting each word as it goes, so your ears catch what your eyes have started skipping after the third read-through.

Where to find it:

  • In Word: Open the Review tab and click Read Aloud.
  • In Outlook: Open the email, then click the Message tab and select Read Aloud.
  • Speed: Once you click Read Aloud, a small floating control bar lets you pause, jump back a sentence, or speed it up.

Hearing your own writing is one of the fastest ways to catch problems your eyes gloss over, such as a missing word, a sentence that runs on too long, a tone that lands wrong, or a paragraph that made sense in your head but not when read out loud. Many people run their emails through an AI tool to “clean them up” before sending them. That’s fine, but it’s easy to paste in a polished draft and hit send without reading it again yourself. Read Aloud makes a good last checkpoint by forcing you to hear the final version before it lands in someone else’s inbox.

Read Aloud uses Microsoft’s default system voice, not a natural one. This makes it great for quick proofreading, but somewhat annoying for background listening.
